Contacts and Customer Database

The Contacts section is your customer database inside MyInboxify. It builds automatically: as soon as someone messages you on any channel, their contact appears in the list. There’s no need to add people manually — it’s essentially a simple CRM that keeps track of your customers for you. Both the Owner and agents can use this section.

If you’ve ever wondered what a CRM is in plain terms — it’s exactly this kind of customer list with a communication history. In MyInboxify it lives in the Contacts section (in the left-hand menu of your account).

How the customer database works

Each row in the list is one customer. The database fills itself from incoming messages: when a new lead arrives, the service creates or updates the contact card. That way you always see who reached out to you, from which channel and when.

What the contact card shows

Open any contact to see its card. It gathers everything known about the customer:

  • The customer’s name;
  • Phone;
  • E-mail;
  • The channels they used to contact you;
  • The history of all conversations with this person.

Thanks to the shared history you never lose context: even if a customer wrote to you six months ago on Telegram and today came in through a website form — it’s all visible in one card.

What you can do with contacts

The section offers all the main actions for working with your customer database:

  1. Open Contacts in the left-hand menu of your account.
  2. To add a customer manually, click Create contact and fill in the details.
  3. To open or update a card, select a contact from the list and click Edit.
  4. If the same customer ended up in the database twice, use the Merge duplicates action — the cards will combine into one with a shared history.
  5. To remove an unneeded contact, click Delete.
  6. To delete several records at once, tick them and apply bulk delete.
  7. To export the database, click Export CSV — the file can be opened in Excel or imported into another system.

💡 Merging duplicates is especially useful when the same person has messaged you from different channels. After the merge, all the correspondence ends up in one card, and the agent immediately sees the full context.

⚠️ Delete and bulk delete remove the contact along with its linked data. If in doubt, it’s better to do an Export CSV first — that way you keep a backup of the database.

Contacts and leads go hand in hand. As you handle requests in the shared inbox for incoming leads, you’re building up your customer database at the same time. And if several employees are working on requests, managing agents and roles will help you share the load.

Do I need to add customers manually?

No. The customer database fills automatically from incoming messages. You can add a contact manually only if needed — for example, if you want to set up a card in advance.

What should I do if the same customer appears in the list several times?

Use the “Merge duplicates” action. The cards will combine into one, and the entire message history will come together.

Can I export the customer database from the service?

Yes. Click “Export CSV” — you’ll get a file with the list of contacts that can be opened in Excel or moved to another program.
